What’s Best for Your Event – A Graphic Summary or Chart for Every Session?

Often graphic recorders come prepared to capture every session in detail. However, sometimes we can be of greater service to the group by producing a single summary illustration of the high-level content of the entire day.

How do you decide which is the best approach for you? Here are a few ideas based on how I’ve partnered with clients to create the best outcomes for their specific needs.

Capturing in more detail is helpful when:

-          It’s important to capture many different perspectives and viewpoints to show all voices are heard and/or begin drafting a map of the landscape the group is working in.

-          Part of the event will be knowledge downloads, and part of the event will be tapping the wisdom of the room to address a challenge or problem. Having the information presented posted around as charts helps participants build on and remember what was shared as they develop solutions and next steps.

-          There are juicy keynotes or panels you want to capture and post as a gallery during and after the event to maintain momentum and inspire action with the group.

-          Groups will be taking ideas from plenary and developing them further in breakouts and need details to work with.

A summary graphic can be more useful if:

-          You’ve got concurrent sessions and only one graphic recorder. I often work with clients to design processes for staff or participants to capture key ideas and help me integrate them into the summary.

-          There is small group work without reporting back every time.

-          You want a slightly more polished piece to share during and after the event in reports, etc.

-          The content is sensitive but capturing the overall process and high-level ideas is valuable for participants. Sensing and holding the energy in the room is important for the process. I become part of the container for the group to move through their path, and the graphic summary can also hold that energy.

There are many ways to leverage a graphic recorder to best support your group. I love working with my clients leading up to the event to make sure the graphics are tailored to your needs and help move you toward your goals.

And sometimes, this is a “yes, and” situation – it’s important to capture content from each session, then after the event, I’ll work with clients to co-create a visual summary of the key messages to share moving forward.

Washington, DC: With the Democracy Fund to begin creating a systems map of our country’s democracy. It was complex, challenging, thought-provoking, and the hearts and minds of the people in the room are extraordinary! And another example of a summary of content from the entire day.

Tales from New Jersey Part 2: What I Decided to Step Into and How It Went

Have you ever shared something that seemed like second nature to you, but when you shared it, people were delighted and learned something new?

Last month I got to surround myself and learn from others in my professional field at the International Forum of Visual Practitioners (IFVP) conference. Here’s part two of my reflections from the event on where the field is headed and where I’m showing up.

For the first time, I presented a breakout workshop during the conference. At IFVP, I’ve always seen myself as a newbie, even though I’ve been a graphic recorder and facilitator for more than 8 years. I love teaching and facilitating, and I thought it was about time I offered something from my perspective back to my community. The topic? Email marketing that feels authentic AND builds your business.

Stepping into my expertise felt GREAT. People had a blast and applied what they learned. I may have flossed (the dance move, not the dental hygiene…At least not during my workshop). Sharing things that seemed obvious to me were revelations for my audience, and it was a treat to get to share more of my quirks and winning humor with my captive audience ;).

So I encourage you to consider: How might you stepping into ownership of your knowledge? How are you giving back to your community? Whether it’s volunteering or simply offering smiles to strangers, you can have an impact far greater than you know!

Tales from New Jersey: Where the Field of Graphic Recording is Headed and How I’m Showing Up PART 1

Where do you find yourself thinking “I’m so at home right now, I feel surrounded by my people!”?

Last week I had the pleasure of getting to connect with MY people at the International Forum of Visual Practitioners (IFVP) conference. This year was special for me because I was selected to present a workshop session (more on that later) and got to shake up a few mental models about myself and the field.

Over the next few weeks, I want to share some key takeaways of where I see the field of visual practitioners going and how that is shaping my practice!

So this week, the first thought to actions shift I want to share is…

We are MORE than fun artists to liven up an event (although that’s part of what we do)!

As graphic recorders, we can provide value from the very first conversation by offering digital visual notes of a scoping or planning call to help our clients see their thoughts more clearly. This simultaneously shows how visual capture provides value in a tangible and relevant sample.

Better yet, attending a pitch or scoping meeting and providing live graphic recording to show even the most skeptical and budget-conscious decision-makers how powerful visualizing the conversation can be! This also serves to show how the facilitator you’re partnering with is different and more effective than the average bear.

The deeper mental model shift here for me is that as a graphic recorder, I have VALUABLE EXPERTISE and a UNIQUE PERSPECTIVE that can help my clients, and it’s MY RESPONSIBILITY to step up and share what’s possible when working together.

If this is a client’s first time working with a graphic recorder, they may not know all the dimensions and ways we can tailor our work to best support their group…unless we help them see what’s possible!

I also choose to show up as a Thought Partner for the facilitators and clients I work with by asking key questions like “What does success look like?” and “Why are you interested in having a graphic recorder at your event?” so I can listen and capture content that will best serve the needs of the group. And I provide a custom list of suggestions tailored to each client to help them continue to leverage the charts after the meeting to provide longer-term value beyond the event itself.

Crush Your Next Big Project…It Will Only Take 15 Minutes

Sometimes a project feels so big you don’t know where to begin. Or maybe it’s not so huge, but it feels easier to check your phone than starting what needs to get done.

Here’s a trick to shake off that paralysis of getting started:

Set yourself a timer for 15 minutes.

Really? 15 minutes? Yes, really.

I’m doing it right now – I’m using my own advice to get this newsletter out to you fantastic people!

I’ve found that 15 minutes is just a small enough chunk of time I can convince myself to just say no to one more cute cat video, put my head down, and start chipping away at what I need to do.

And, 15 minutes is just long enough to get into the groove and want to keep jamming out on what I’m working on. Maybe set that timer for another round and see if I can finish something faster than I expected!

Bonus tip: Set the timer, then hide your phone. Temptation? What temptation?

One Easy Strategy to Increase Authentic Inclusion at Your Next Conference

The past few weeks, a few conversations have had me taking a step back and seriously consider and appreciate a lot of things I take for granted. As you can imagine, that list is long, but the one thing I want to write about today is inclusion and accessibility – particularly for people with differing abilities (thanks Melwood for the lingo!).

A few weeks ago when I was at ASU, I met someone who has been part of the ShapingEDU community, and they told me something that stunned me. We’ve been doing webinars on the various ShapingEDU themes, aka neighborhoods, which I’ve been digitally graphic recording and screensharing during the conversations.

As we chatted, he explained he used hearing aids, and the webinars were sometimes difficult to hear or follow. He then told me this:

“Karina’s graphic facilitation of meeting notes, a-has, and conversation during our ShapingEDU webinars, and our in-person Empower IT conference helps me to not only follow these lively and important discussions occurring, but also in processing the information which flows rapidly.  As a hearing impaired individual, these pieces of art...yes, they are art...continue to be instrumental in assisting me in processing the information.  These pieces are more engaging, more accurate, and more impactful that closed captioning could ever imagine, or hope to be.  Karina is a consummate communicator.  She has identified the universal language to us all, pictures.  I look forward now to any meeting which Karina will be communicating visually with the participants.  Simply put, she does amazing work!”

This totally shook up my frame of reference and made me reconsider what and how I capture and being sure the context is clear for those who may not be able to hear everything that’s being said. And was a great excuse to take a step back and consider what I take for granted.

Hello from a Natural Wonder of the World!

Howdy!

As you may have seen, this month I’m rowing a raft down the Mighty Colorado River through the Grand Canyon with a group of 15 other folks. For 21 days, we’re camping on the river’s edge, exploring side canyons, and completely disconnected from phone or internet service from March 25th through April 15th.

You’ve probably deduced by this point that while I’ll be blissfully unplugged, unfortunately I cannot work with phenomenal clients like you during this time. As an entrepreneur, finding balance between work and spending time in nature is important to me, and I feel ridiculously lucky to be a part of this trip.

Digital, Paper, or Foam Board, Oh My! How to Decide Which Medium is Right for Your Event

Hey folks!

Have you ever organized an event for your organization? If you have, you know there’s a LOT more that goes into planning and pulling off a successful gathering than meets the eye.

If you’ve put weeks into organizing an event, you want it to go as perfectly as possible. So, naturally, you’ve hired a graphic recorder to visually capture notes in real-time. High five, you have got this on lock. Then, the graphic recorder throws this curveball at you:

“So, would you like me to work on paper or digitally?”

As digital scribing has become more reliable and attainable, deciding whether to use paper, foam board, or projecting a tablet screen can feel complicated.

With all the other variables you’re managing, I’m here to help this decision to be an easy and fun one!

Houston, Texas: With Houston Methodist Center for Neuroregeneration capturing presentations and discussions from a global group of neuroscientists and spinal researchers. We even witnessed Mutton Bustin’ at the Houston Rodeo! Needless to say, my mind is blown after working with them (heh heh).

Washington, DC: This week I’m back in DC working with the Environmental Defense Fund on the last in a series of systems thinking workshops on sustainable agriculture and pollinator habitat.

And Nearly…In the Grand Canyon! As a reminder, my next big adventure has been in the books for the past year – from March 24-April 15 I will be rafting the Grand Canyon! Fortunately, I’ll be completely disconnected from phone and email during that time rolling on a river. Lucky Number 7 – Happy Birthday ConverSketch!

Holy moly party people, it’s time to celebrate!

That’s right, it’s been seven years since ConverSketch officially launched into this world, and I’m proud and grateful to get to be a visual thought partner for my clients.

In some cultures, seven is considered a lucky number and, while entrepreneurship definitely not completely about luck, it certainly plays a role. Luck, kismet, fate, intuition, divine guidance…call it what you want to call it. There is something beyond pure logic that comes into play as a business founder.

And, you know me, I love to appreciate! So, here are a few of the things I feel lucky about at ConverSketch:

-          I’m lucky to work with the amazing groups and organizations I do. My clients have missions that drive them and always have passionate employees who make the world a better place.

-          I’m lucky to have the privilege to do this work. To have an education and the support to pursue what simply felt like what I should be doing. That I can work hard and that hustle can pay off is a gift that’s easy to forget.

-          I’m lucky to get perspective from the micro to macro scale and to work across sectors allowing observations of larger patterns and trends and that I can learn something new pretty much every day.

-          I’m lucky to share my skills and energy with my clients in an authentic way to support them to do the best possible work they can. I can experiment, infuse goofy humor, make mistakes, and depict my clients as small woodland creatures if I feel like that needs to happen.

-          I’m lucky to have kickass readers like you who doodle along with my emails and write notes of encouragement or questions after reading a newsletter.

The past two weeks have been filled with graphic facilitation, studio work, and graphic recording across Colorado. I wanted to share a few of my favorite parts of this recent work with you all!
