How the City of Boulder Made the Most of Working with A Graphic Recorder…And You Can Too!

When you all bring ideas to me that are creative, I always want to share them back so others can use them. This story from Boulder's Recreation Centers demonstrates how integrating graphic recording throughout the entire process - before, during, and after - created deeper and more varied community involvement.

Pre-Event: Strategic Visual Design

Boulder's team envisioned gathering community input through a playful board game format, where residents could prioritize recreation center improvements using feature cards. Rather than settling for a generic design, we collaborated to create a custom game board that reflected the rec centers’ unique character. This pre-event visualization set the tone for engagement and created anticipation among participants.

Other ways to use visuals before your event are creating custom drawings to share via email, website or social media so people know what to expect. And we can turn your typical typed agenda into an engaging visual journey that gets people pumped about attending.

Event Day: Dynamic Engagement

During the session, live graphic recording via projected iPad screen transformed abstract discussions into tangible ideas. This real-time visualization served as a shared reference point, deepening participant engagement and maintaining high energy levels throughout the discussions. Watching ideas take shape visually encouraged more meaningful contributions and created a collaborative atmosphere.

Post-Event: Extended Impact

The team maximized the visual assets' potential by displaying large prints in each Boulder recreation center with interactive sticker voting for ongoing community input. This thoughtful approach extended the conversation beyond the initial session, allowing broader community participation through both the physical displays and a survey sent by email.

The result? A cohesive, engaging process that transformed standard community feedback sessions into a memorable, productive experience that continued to gather valuable input after the initial event concluded.

Where in the World is ConverSketch?

San Francisco, California: With the National Parks Conservation Association as they continue a long-term collaboration to reduce single-use plastics in parks - here’s a snap from last year. This year we’re also discussing strategies to support visitors and parks with electric vehicles. Fighting the good fight.

Houston, Texas: Right now I’m with Houston Methodist as they lead the effort to bridge disciplines and approaches in neuroregeneration research and practice. I’ve been delighted to support their work since 2019, even through the pandemic and having the twins. Smart Ways Your Visual Notes Can Have Lasting Value

When you bring a graphic recorder into your event, you’re making an investment financially, in your time, and in the success and impact of your event.

So, when I saw the way the Fish and Wildlife Service Permits team was using their visual notes from last summer, I knew I had to share it with you! Months later, they’re still creating engaging content chock full of visuals to maintain momentum and tell their stories.

What’s the secret to maximizing their investment in visuals?

We thought about it early in the process.

It’s that simple. In our initial discovery calls together, clarifying the Purpose, Outcomes and Process (POP) was step one. We made sure to not only discuss how visuals might best support the group on-site, but what their goals were for the charts after the workshop.

In these conversations, it became clear that capturing all the details of every session was less important, and creating more detailed illustrations of key ideas that could be used in digital content for months afterward was a priority.

Here are three questions you can ask yourself before any meeting to make sure you’re maximizing your time, whether you have a graphic recorder with you or not:

  • What is our POP?

  • What stories do we want people telling after the meeting?

  • How can the graphics/follow up communication support this?

Children with Medical Complexity: You may recognize this project – I’ve had the pleasure of supporting Boston University’s research on family-centered care since 2020. This year, they’re building on the initial pilot and digging deeper into what those preliminary findings mean. Here’s one of the digital graphics from this year.

Video Series: Individualized Education Programs. In partnership with High Quality IEPs walks educators and administrators through the IEP process and shares WHY they matter and how they can make a positive difference in the lives of children with disabilities.

How to Use Graphics After Your Event for Seismic Engagement

Have you ever gotten a follow up email after attending an event? What was inside? A survey? A written meeting summary?

Was there any engagement? A lively volley of replies…or crickets?

After a workshop focused on zero waste in National Parks, the National Park Conservation Association (NPCA) blew me and the other participants away with the workshop summary.

And the results? More than 20 of the 32 participants replied to the summary, expressing delight in being a part of the group and the uniqueness of having graphic recording as part of the process. Here’s what Josh Simpson who founded Little Kamper refillable propane tanks wrote:

“For me, the most amazing part is reviewing the summary report and seeing how much was captured and translated into art. This was my first experience with having an artist in residence at a meeting and I'm blown away. My high hopes for this gathering were met at every step on the way and then exceeded when I reviewed the meeting summary.”

Another example of using the graphics to amplify impact is from the Boston University team working on improving care and outcomes for children with medical complexity.

They published a special issue of the  journal Pediatrics focusing on several years of collaborative and family-led work. In two of the papers, graphics from the process are used to illustrate key ideas and share important outcomes from the work.

Where in the World is ConverSketch?

Boulder, CO: For the City of Boulder as they asked citizens what they’d like to see in the Civic Area Park. This was created on paper on-site (and outdoors!) then additional color was added digitally after the event.

Many of you are folks I’ve had the pleasure of getting to collaborate with, and you’ve experienced the magic sparked by visuals directly.

Even if you get it, sometimes you need to persuade someone else why it’s an excellent idea to have a visual partner in the room. This is what I hear from clients time and again.

  • Wraps your people in the beauty and richness of their ideas when the room is full of walls covered in colorful and content-full drawings

  • Sparks creativity

  • Brings joy and laughter

  • Supports groups as they co-create the extraordinary

  • Helps you get more done in less time

The Underrated Potential of Designing Time to Connect in a Retreat

Is your team is planning an off-site retreat soon? If you are, I cannot recommend one thing to your agenda design team enough.


If you want to…

  • Make the most of the fact your team traveled to (most likely) an intentional location

  • Help shift mindsets from “me” to “we”

  • Build trust

  • Leverage your time together in person…

Build in unstructured time for your group to get to know each other.

It can be so tempting to pack every last moment of an agenda with work to get done, especially after 2+ years of mostly remote collaboration. But here’s what happened when we didn’t do that with a group I got to graphically facilitate through a 2-day offsite in person last week.

This team is geographically dispersed, and some folks had been hired during the pandemic, so they had never met together as an entire group in person. Together, we designed an agenda that began with a day of hiking and an optional group dinner before we even began to talk strategic planning. Meeting them the next day, I never would have guessed they hadn’t met together before. The participants themselves remarked at how connected they felt even after just 3 days together.

If you don’t have time for a full day of hiking, fear not! We also created optional semi-structured opportunities for participants to get to know each other during lunch and infused each day with activities that provided a chance to share personal stories in large and small groups, like the one above.

POP It!

Having a clear purpose in a meeting is something you’ve heard from me before – whether it’s a 15-minute check in or a 2-day off-site, when the organizers and the participants are extremely clear on the purpose of why they’re being asked to be there, engagement and the ability to measure if the outcomes were successful follow.

And, thanks to this excellent blog from Drawing Change, I just learned about a super handy, straightforward tool to make the meeting planning even better. It’s called POP, which stands for: 

Purpose, Outcome, Process

Developed by the Rockwood Institute, beyond defining the Purpose, or your why for convening the meeting, you add two more simple ideas. Your Outcome “speaks to what – the vision of what success will look and feel like when you “arrive.” And finally, your Process outlines the “how – the specific steps involved in getting there.”

It’s easy to jump straight to the process design, but if you’re clear on why you’re there and what it will look and feel like to be successful, that enormous investment of time, energy, resources, thinking, good food, and space together will be easier to measure and follow through on. 

So, here’s a graphic facilitator style worksheet you can use to help your group work through your POP for your next meeting – I hope you enjoy it!

Agreements, Ground Rules, Community Norms, Oh My!

Someone carrying on for multiple minutes, seemingly without taking a breath, about a topic unrelated to the task at hand.

Any of this sound familiar?

Whether you call them ground rules, group agreements, or community norms, co-creating expectations for how a group will interact is one way to design a focused and purposeful meeting

Why do group agreements work?

  • They define “rules of engagement” group agrees to

  • People communicate in different ways, and norms help us agree how to work with each other

  • Setting expectations for how the group will interact

  • Creating mechanisms for resolving tensions or conflict 

Even taking just a minute to review previously established agreements is a powerful tool to ground participants and remind them that they’re not in just any meeting, they’re in this gathering space with an intentional environment that has been co-designed by the whole group. This is subtle yet important in shifting from “why do we need to be meeting?” to “I’m fully present and ready to contribute to this process.”

Here are some of the agreements commonly used in meetings I facilitate:

  • Speak from your experience and welcome others to speak from theirs

  • Step up when you have something to share, step back and make space for all voices to be heard

  • Listen to understand (not just waiting for your turn to talk)

  • It’s okay to disagree, but do so with curiosity not hostility (thanks to the Center for Public Deliberation for my personal favorite!)

  • And of course…Support the facilitator – help me help you as we move through the process

A New Decision-Making Tool for Your Team

This week’s newsletter is a quick tool I learned of from the Civic Canopy and I’m curious to try – perhaps while graphic facilitating a retreat next week. 

It’s called The Decider App and uses a series of straightforward questions to help you and your team select a decision-making model that best suits your needs. 

Whether you need support from the entire group but don’t have a lot of time, or you’re not even sure you need to make a decision, this tool helps you weigh your options and offers a quick snapshot of how to go about the decision-making process.

Here are a few other thoughts about good decision-making with groups:

  • Be extremely clear about what’s being decided

  • As a leader, cultivate an environment where people can disagree to invite different perspectives and avoid blind spots

  • And a list of four useful decision-making processes

How I Prepare for Live Graphic Recording: Visual Notetaking Tips You Can Start Using Today

If you and I have met and had a conversation about visual thinking, there’s a good chance I’ve enthusiastically shared that I believe anyone can draw, and anyone can take visual notes. 

Aside from the fact that we are innately visual creatures and a few tips can spark creativity, I’ve learned through the years that there are things I can do that help me feel more confident and consistently help me produce my favorite work. 

One secret is that taking time to prepare before live graphic recording really helps me set myself up for success. These are strategies I use all the time that you’ll be able to implement at your next meeting to infuse your own notes with some visual flair. 

Each tip is followed by a snippet from my sketchbooks as an example. Here we go! 

Look through an agenda and practice sketching ideas for how to visualize concepts that will almost certainly come up – specific animals, equipment, or activities.

Play with potential layouts – even if I don’t know how the conversation will emerge, if I have some ideas sketched out I’ve found I’m more confident and it’s easier to adapt or add more detail if I’ve already spent some time thinking about it.

Pick your colors – as Brandy Agerbeck says, use color MORE, rather than using more color! Pick colors for very important ideas, or to add patterns in the background. This is especially helpful when working digitally and you can use literally any color – paring down up front helps make decisions quickly in the moment. 

Draw out session titles and key names/affiliations if you know them, that way you’re not trying to spell someone’s name correctly while listening to their brilliant ideas and trying to get it all down.

Keep scratch paper nearby for taking notes. I do this less working digitally as it’s easy to move or erase ideas, but it’s still helpful to have a sketchbook nearby to jot down a great quote or statistics to incorporate later.

3 Tips for Getting the Most out of Your Virtual Whiteboard

By now, most of us have experienced more video conferences than we can count (why, in the name of all that is holy, would we ever have the desire to count?). 

Which means over the past year, as a graphic facilitator in the digital sphere, I’ve collaborated with clients to create custom templates for virtual whiteboard platforms for events where participants say things like: 

This was the best zoom meeting I’ve been to!

I had the Miro board up throughout the entire 3-day conference!

So, how can we get these same exclamations at your virtual event? 

Let’s go ahead and take some work right off your plate and share what I’ve learned through trial, error, and following discoveries of others experimenting in this space. 

Hot tips: 

  • Include important logistics such as the agenda, zoom links, survey links, etc. I create a custom layout with visual elements for specific sessions or for general feedback. In addition, I’ve learned it’s helpful for participants to be able to easily navigate the multiple links, web pages, and documents if they’re all linked into the board you’re using.

  • Build time to engage with it into your agenda. This is KEY to successfully using a virtual whiteboard. To make the most of this tool you’ve invested in using, BE SURE to include time(s) each day to engage with the whiteboard. Whether it’s an activity, or just time to network, 10 minute blocks of time can make a huge difference to help participants connect. BONUS: Remind people where to find it – drop the link in to the chat box regularly.

  • Add a new element each day. In a multi-day virtual event, once participants start to get the hang of navigating your whiteboard space, create new elements for them to interact with each day. Make them delightful and useful – asking specific questions about content or simply providing a space for a morning/afternoon reflection creates a reason to draw people back in, and more opportunities to connect with each other.
